Terms of Service

To use the Service, you must:

• Be at least 18 years old
• Use the Service for your business or profession, and have authority to bind the business you represent
• Not be prohibited from using the Service under the laws that apply to you
• Give accurate and complete information when you register

AppSuiteHQ is an AI operating system for small businesses. It combines business tools (CRM, proposals, contracts, projects, time tracking, accounting, expenses, a knowledge base, automation, compliance, GDPR and privacy tools, audit and social media planning) with an operating-system layer that uses your organisation's data to prepare morning briefings, signals, draft messages and documents, an approval inbox, answers with cited sources, organisational memory and cash forecasts.

The tools and features available to you depend on your plan. We keep developing the Service and may add, change, suspend or remove features. We will give reasonable notice before a change that materially reduces what your paid plan includes, unless the change is urgently needed for security or legal reasons.

The accounting, compliance, GDPR, privacy and audit tools help you organise your work. They are not legal, tax or financial advice, and you remain responsible for meeting your own obligations.

The operating system and some tools use AI models to prepare work for you, such as briefings, signals, drafts, recommendations, answers and forecasts (“AI output”). When you use these features:

• AI output can be inaccurate, incomplete or out of date, even when it cites sources. You are responsible for reviewing it before you rely on it.
• Nothing the AI prepares is sent outside your organisation, published or carried out without a person approving it. You are responsible for what you approve and send, as if you had written it yourself.
• Actions have risk tiers. The highest-risk actions, such as moving money, deleting records and changing permissions, can only be done by a person, never by the AI.
• A sent message can be marked “sent by mistake” for 30 minutes. This corrects the record in the Service; it does not recall an email that has already been delivered.
• Forecasts, including cash forecasts, are estimates based on the data recorded in the Service. We do not guarantee them, and they are not financial advice.
• An audit log records who prepared and who approved each action.

Your organisation can switch AI features off in its settings. Our Privacy Policy explains how data is processed for AI features and which AI providers we use.

You must not use AI features to create unlawful, harmful or deceptive content, or in any way that breaks the acceptable use rules below.

You must not, and must not allow others to:

• Use the Service for anything unlawful, fraudulent or harmful
• Upload viruses, malware or other malicious code
• Try to gain unauthorised access to the Service, other accounts or our systems, or get around security measures or plan limits
• Interfere with or disrupt the Service
• Use bots, scrapers or other automated means to access the Service or collect data from it in a way that places an unreasonable load on it or that we have not permitted
• Impersonate others or misrepresent your identity
• Infringe intellectual property or other rights
• Send spam or unsolicited communications, or messages that break marketing or data protection laws
• Use the Service to build a competing product

We use third-party providers to deliver parts of the Service, such as Stripe for payments and an email delivery provider for the emails the Service sends. Where the Service offers it, you may also link external accounts, such as a social media account for scheduling posts. Third-party services you choose to use or link are governed by their own terms, and we are not responsible for services we do not control.

To the extent permitted by law, the Service, including AI output, is provided “as is” and “as available”, without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose and non-infringement.

We do not warrant that the Service will be uninterrupted, error-free or completely secure, or that AI output or forecasts will be accurate. Keep your own copies of important data; you can export it at any time.

To the maximum extent permitted by law, AppSuiteHQ is not liable for any indirect, incidental, special, consequential or punitive damages, or for loss of profits, revenue, data or goodwill.

Our total liability for all claims relating to the Service is limited to the greater of (a) the amounts you paid us in the 12 months before the claim arose, or (b) 100 US dollars.

Nothing in these Terms limits or excludes liability that cannot be limited or excluded by law, such as liability for fraud, gross negligence or wilful misconduct, or for death or personal injury caused by negligence. Some jurisdictions do not allow certain limitations, so some of them may not apply to you.

You agree to indemnify AppSuiteHQ and its officers, directors, employees and agents against claims, damages and expenses arising from your use of the Service, Your Content (including messages you approve and send) or your breach of these Terms.

These Terms are governed by French law, without regard to its conflict-of-law rules.

If you have a complaint, please contact us first at business@appsuitehq.com so we can try to resolve it informally.

Any dispute that is not resolved informally will be brought before the courts of Paris, France.

This does not take away any mandatory protection you have under the law of the country where you live or are established, including any right to bring proceedings in your local courts where that law gives you one.

We may update these Terms. We will tell you about material changes by email or in the Service at least 30 days before they take effect. If you keep using the Service after that, you accept the updated Terms; if you do not agree, you can cancel before they take effect.

This version, dated 27 September 2026, replaces the version of 15 January 2025. It describes the AI operating system and adds a section on AI features, sets out the plans, the monthly AI allowance and top-ups, raises the minimum age to 18, updates the acceptable use and third-party rules, and replaces binding arbitration and the class action waiver with the courts of Paris.
